AlloScribe ("we", "our", "us") is a clinical documentation tool operated by AlloScribe. This policy explains what information we collect when you use AlloScribe, how we use it, and what rights you have. We are based in the United Kingdom, and this policy reflects our obligations under UK GDPR and the Data Protection Act 2018.
1. What we collect
When you create an account or contact us, we collect:
- Your name and email address
- Your professional role and organisation (optional)
- Messages you send to our support team
When you use the application, we collect anonymous usage analytics (pages visited, feature interactions, session duration) to understand how the product is used. These analytics are not linked to your identity or to any patient data.
2. Patient data
AlloScribe does not retain patient-identifiable information or final clinical reports on our servers. Audio submitted for transcription is processed in transit using encrypted connections and discarded immediately after the report is returned to your device. We do not use patient content to train AI models. We do not store, index, or review clinical reports.
The clinician using AlloScribe is responsible for ensuring that their use of the product is consistent with their institution's data governance policies and their patient's consent.
3. How we use data
We use account information to operate and improve AlloScribe, communicate with you about the product, and respond to support requests. We use anonymous analytics to identify usability issues and prioritise improvements. We do not sell your data to any third party.
4. Data storage and retention
Account data is stored on servers located in jurisdictions with adequate data protection standards. We retain account information for as long as your account is active or as required to comply with legal obligations. You may request deletion of your account at any time by contacting us.
5. Third-party services
We use a limited set of third-party services for infrastructure and analytics. These services are bound by their own privacy policies and are selected to minimise data exposure. We do not embed third-party trackers, advertising pixels, or social media widgets on the AlloScribe application.
6. Your rights

7. Security
All data in transit is encrypted using TLS 1.2 or higher. Access to our systems is restricted to authorised personnel. We conduct regular security reviews. See our Security page for more detail.
8. Children
AlloScribe is a professional tool for licensed healthcare practitioners. We do not knowingly collect information from individuals under 18. If you believe a minor has provided us with personal data, contact us and we will remove it promptly.
9. Changes to this policy
We may update this policy from time to time. We will notify registered users of material changes by email or through an in-app notice. The date at the top of this page reflects when this version was last revised.
